Inviting portal users

Give a client contact their own sign-in to the portal: when to invite, how the invitation works, and how to resend, remove or preview.

Invite when there is something to show

SEO Ops holds the Invite button back until the portal has something worth seeing. A client needs at least one of these before you can invite someone:

  • a published strategy,
  • a task you have shared with them,
  • an approval waiting for them, or
  • a published report.

Until then the button explains what is missing. It stops clients logging in to an empty portal. People already invited are unaffected, and so are resending, enabling, disabling and removing.

Preview before you invite. On the client page, open More actions and choose Preview client portal. It shows the real portal for that client, read-only, in a new tab, with an Exit preview banner. Check what they will see before they see it.

Invite a portal user

  1. Open the client and find the Portal users card.
  2. Choose Invite.
  3. Enter their Name and Email, and tick Can approve and reject work if they should make decisions on approvals.
  4. Choose Send invitation.

Prefer to work from the user list? Settings › Users & roles lets an administrator add a user with the Client role and link them to the client. The result is the same.

What the client receives

A clear, branded email with a Set your password button and the sign-in address. It is sent through whatever mail setup your site uses, for example an SMTP plugin, not the plain WordPress “new user” message.

The sign-in and set-password screens then read as your client portal: your agency name (and logo, if your theme has one), “Welcome, name”, the client’s name and plain wording. The portal address is /portal on your site.

If the email does not arrive

If the invitation email cannot be sent, SEO Ops says so. The user is still created, so once your email is working use Resend invite beside their name to send a fresh set-password link. If email on your site is unreliable, an SMTP plugin is the usual fix.

Manage access later

ActionWhat it does
Resend inviteSends a fresh set-password link.
Disable / EnableTurns portal access off or on without deleting the person.
ApproverControls whether they can approve, request changes or reject work.
RemoveEnds their access and deletes their login. Their approvals and comments stay in the history. Staff accounts are never deleted this way.

What they can see

Only their own client’s shared information: the published strategy, priorities, tasks you shared, approvals waiting for them, published reports, documents and meetings, and comments marked client-visible. This is enforced on the server. See Setting up the client portal and Roles and permissions.

Common questions

Can one person see two clients?

A portal user belongs to one client organisation. If someone works with two of your clients, invite them separately for each.

Does a portal user count against the Free limit?

No. The Free limit counts active clients, not people. See Client statuses and the Free limit.
