Notifications
What SEO Ops tells you about, how to read the notifications panel, and how to choose which events also send an email.
What you are told about
| Event | When it happens |
|---|---|
| Task assigned | Someone assigns a task to you. |
| Mentions | You are mentioned on a task or in a comment. |
| Comments and replies | There is a comment on a task you are involved in, or a reply to yours. |
| Task overdue and due soon | A task of yours has passed, or is close to, its due date. The overdue notice asks for a reason; see Overdue reasons. |
| Approval requested and completed | An approval is requested (the client is told) and when the client decides (you are told). |
| Client comment | A client comments on something you shared. |
| Strategy changed | A strategy is changed. |
| Report published | A report is published to the portal. |
| Client request and request decided | A client asks for work, and when you accept or decline it. See Client requests. |
The notifications panel
Open the bell to see your notifications. The tabs are Unread, Mentions, Approvals and All. Select one to go to what it is about, and use Mark all as read to clear the list. Clients have a notifications list in the portal for the events that concern them.
Notifications appear in the app by default. Email is off by default, so SEO Ops never floods anyone’s inbox on day one. Under Settings › Notifications, under Send an email as well when…, switch on the events you want emailed. Choose carefully; mentions, approvals and overdue tasks are the ones most people want.
Emails go through whatever mail setup your site uses. If email on your site is unreliable, an SMTP plugin is the usual fix. See Troubleshooting.
A sensible setup by role
| Role | Worth emailing |
|---|---|
| Account manager | Approval completed, client comment, client request, task overdue. |
| Specialist | Task assigned, mentions, due soon. |
| Developer | Task assigned, mentions. |
This is a starting point. The in-app panel always shows everything, so email can stay minimal. Start with a few events and add more only if you miss things.
Habits that stop notifications becoming noise
- Check the bell at the start and end of the day, not constantly.
- Use Mentions to find what needs your reply, and Approvals to see decisions that affect your work.
- Mark all as read once you have dealt with what matters.
Common questions
Do clients get notifications?
Yes. The portal has its own notifications list for the events that concern a client. The portal invitation is a separate email; see Inviting portal users.
Why did I not get a notification?
Notifications go to people involved in the item and respect their access. Check you are assigned or mentioned and that you can see the client.
